A checklist for writing effective technical RFQs โ process data, performance guarantees, documentation requirements, and evaluation criteria.
A well-written technical RFQ is the difference between getting accurate, comparable bids and receiving vague proposals that can't be evaluated. For water treatment equipment โ ETPs, STPs, RO systems, or ZLD โ the quality of your RFQ directly determines the quality of the vendor response.
Include inlet flow rate, inlet water quality (pH, TDS, COD, BOD, oil & grease), desired outlet quality, and any process variations (seasonal flow changes, batch vs. continuous). Vendors cannot price accurately without this data.
Specify the outlet quality targets and any regulatory standards the system must meet. For industrial clients, this may be CPCB General Standards or state-specific discharge norms. Be explicit about what "compliance" means for your facility.
Define the complete equipment scope: pumps, tanks, treatment units, instrumentation, electrical panels, and control systems. Include any existing infrastructure the new equipment must interface with.
Request material test certificates, dimensional drawings, P&IDs, O&M manuals, and warranty terms. Vendors who provide comprehensive documentation from the start are typically more quality-conscious.
State how bids will be evaluated. Common criteria include technical compliance, equipment quality, delivery timeline, after-sales support, and commercial terms. This ensures vendors invest effort in their proposals.
